Job Summary: 
Under general supervision by the Administrative Assistant, the Receptionist is responsible for answering telephones, greeting visitors, answering general inquiries, and clerical support.

Essential Functions: 
• Answers incoming telephone calls; directs calls to appropriate program or individual; takes messages 
   when necessary and ensures messages are forwarded in a timely manner• Answers incoming telephone

• Provides general information to the public about the TRIO Programs
• Greets all TRIO visitors; assists community walk-ins and Program participants as needed, screens 
   applications accordingly
• Maintains absentee log for employees who have called in absent and/or are on vacation
• Sorts mail on a daily basis
• Maintains a log of all incoming and outgoing packages and distributes them accordingly
• Responsible for ordering office supplies according to the established procedures
• Provides support to the Administrative Assistant as needed for all Program databases, including accurate 
   inputting, maintaining and saving of data
• Provides support on special projects using mail merge to create labels, etc.
• Maintains the reception area organized and professional at all times
• Supports in maintaining inventory of office equipment and supplies
• Provides clerical support as needed
• Other duties as assigned

Knowledge, Skills, and Experience: 
High School diploma or equivalent, and a minimum of one year general office experience. Receptionist experience preferred. Excellent telephone etiquette, demonstrated ability to multi task, excellent customer service, and good organizational skills. Professional demeanor and appearance required. Excellent written and oral communication skills. Bilingual Spanish/English skills, preferred. Experience operating switchboard/telephone system and voice mail system, preferred. Must be proficient in Microsoft Office (Word, Excel and Outlook).

Physical Job Description: 
Manual Dexterity: Work requires regular speed and accuracy for most of the working day. Physical Effort: Work requires infrequent physical demands. Working Conditions: Normal office conditions. Hazards: Little or no exposure to hazards. Equipment Use: Switchboard, PC, keyboard, copier, facsimile.
