Temp Part-Time Executive Assistant, TELACU Residential Management, Los Angeles

Job Summary:

Under only general supervision, performs a variety of difficult and complex administrative tasks in support of the President & Vice President Field Operations, customarily and regularly requiring the exercise of discretion and independent judgment; primarily engaged in various duties to manage the Office of the President; works directly with company’s Corporate Counsel to manage executive functions of the company’s various Boards of Directors; works directly with Senior Executive Staff to manage and execute a wide variety of special assignments and tasks; has lead responsibility for planning, scheduling and managing company-wide managerial training program; directly assists, advises and represents the President and company in business development activities; manages company archives; negotiates purchases of supplies and materials; manages company database and distribution of major (5,000 units) holiday gift mailing; advises President regarding office policies.

Duties also include, but are not limited to, coordinating scheduling and completion of projects by determining operation priorities and resolving work load problems, works independently in providing staff support to the President & Vice President Field Operations; interacts directly and extensively with Board Members, Senior Executive Staff and all TELACU employees on the President’s behalf; schedules and facilitates Board of Directors meetings; maintains minute books for TELACU and its subsidiaries; provides administrative support to one or more management positions; manages all scheduling for the President; maintains calendar of appointments; receives visitors; writes and prepares correspondence; screens incoming correspondence and phone calls; establishes and/or maintains a filing and retrieval system for interrelated files and records; performs a variety of clerical tasks including typing, proofreading, filing, editing and office machine operations; supervises student assistants in the performance of their tasks.

Knowledge, Skills, and Experience:

Position requires a minimum of five years executive secretarial experience in a fast-paced office environment. Excellent organizational skills. Must be able to communicate expertly, both orally and in writing; use correct English grammar, punctuation and spelling.  Must possess exceptional phone skills and professional presence. Candidate must be able to interact well with all levels of management, be detail oriented, and possess follow-through skills and the ability to handle multiple projects simultaneously. Must have strong computer skills to include Microsoft Word and Excel.
